Importing Clients from Other Platforms

Overview

Switching to a new practice management system doesn't mean starting from scratch. MindHealthFlow makes it easy to import your existing client data from other platforms, spreadsheets, or EHR systems.

Supported Import Sources

We support importing client data from a variety of sources:

• CSV or Excel files exported from other systems
• Direct integration with SimplePractice, TherapyNotes, and Jane App
• Standard healthcare data formats (HL7, FHIR)
• Custom imports for enterprise customers

What Can Be Imported

Depending on your source system, you can import:

• Client demographics (name, contact information, emergency contacts)
• Insurance information and billing details
• Diagnosis history and treatment plans
• Session notes and clinical documentation
• Appointment history
• Uploaded documents and files

Step-by-Step Import Process

Follow these steps to import your client data:

• Export your data from your current system (refer to their documentation)
• Go to Settings > Data Management > Import Clients in MindHealthFlow
• Select your import source type and upload your file
• Map the fields from your file to MindHealthFlow fields
• Review the import preview and confirm
• Monitor the import progress and review any errors

Data Security During Import

All imports are processed in a secure, HIPAA-compliant environment. Files are encrypted during upload and deleted after processing. You'll receive a confirmation email when the import is complete, along with a summary of imported records.
